About the job Administration Manager

Key Responsibilities:

General Administration & Support Services

Oversee all administrative activities and office operations across locations to ensure smooth functioning.

Manage all office logistics including maintenance, equipment, utilities, office supplies, and furniture.

Monitor the daily and monthly consumption of pantry / buffet supplies (water, coffee, disposables, etc.).

Plan and execute office purchase requirements in coordination with relevant departments.

Ensure timely procurement of materials and services while adhering to company policies and budget limits.

Develop and maintain relationships with vendors and service providers; evaluate and negotiate contracts and quotations.

Supervise and manage the performance, schedules, and duties of office boys to maintain cleanliness, hospitality, and timely support services.

Ensure all office areas are properly maintained and stocked with necessary supplies.

Coordinate with facility management for repairs, safety, and office improvements.

Monitor and control office inventory and assets.

  • Support HR, Sales & Marketing in company events, staff accommodation, travel logistics, and employee onboarding logistics

Fleet & Transportation Management

Manage company Fleet operations, and vendor management including scheduling, maintenance, licensing, fuel consumption and driver supervision.

Oversee company vehicles assigned to construction sites and head office, including scheduling, allocation, renewal of licenses, fuel tracking, and maintenance.

Reporting & Budget Control

  • Develop and track monthly reports on fleet expenses, housekeeping efficiency, pantry consumption, fuel, and outsourced contract performance.
  • Propose cost-saving initiatives and implement process improvements across administration functions.
  • Handle other administrative tasks as assigned by management.

Requirements:

  • Bachelor's degree in Business Administration, Management, or a related field.
  • Proven experience (10+ years) in office administration or facilities management.
  • Strong leadership and supervisory skills.
  • Solid knowledge of procurement and vendor management processes.
  • Excellent organizational and multitasking abilities.
  • Good communication and interpersonal skills.
  • Ability to work under pressure and handle emergencies.
  • Cost control and inventory management capabilities.
  • Proficient in Microsoft Office (Word, Excel, Outlook).
  • Knowledge of HSE (Health, Safety & Environment) practices in construction sites is a plus.
