Executive Assistant

About the Role

We are seeking a highly organized and proactive Executive Assistant to provide comprehensive support to our CEO. This critical role will be instrumental in ensuring the smooth and efficient operation of the CEO's office and will involve a diverse range of responsibilities, from managing schedules and travel arrangements to overseeing short-term rental operations.

Responsibilities:

· Executive Support:

o Manage the CEO's calendar, schedule meetings, and prepare daily agendas.

o Conduct daily check-ins to review priorities and ensure alignment.

o Track and manage tasks from various sources (email, chat, etc.) and maintain a prioritized task list.

o Draft, edit, and proofread professional correspondence, presentations, and other documents.

o Transcribe and summarize meeting notes and calls.

o Coordinate travel arrangements (domestic and international).

o Assist with expense reports and other administrative tasks.

· Personal Assistance:

o Manage personal appointments and errands (e.g., scheduling family events, coordinating household services).

o Assist with travel planning for family members.

o Order supplies, clothing, and other personal items as needed.

· Short-Term Rental Operations:

o Oversee guest communication and inquiries.

o Manage property calendars, set rental rates, and coordinate bookings.

o Ensure properties are well-maintained and prepared for guests.

o Monitor operational expenses and generate reports on rental performance.

· Project Management & Coordination:

o Assist with recruitment efforts, including scheduling interviews and coordinating onboarding.

o Document and streamline work processes to improve efficiency.

o Support special projects as needed.

Qualifications:

· 3+ years of experience as an Executive Assistant, Personal Assistant, or in a similar role supporting senior executives.

· Excellent written and verbal communication skills.

· Strong organizational and time management skills with meticulous attention to detail.

· Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook) and Google Workspace.

· Experience with task management software and project management tools.

· Ability to work independently, prioritize effectively, and adapt to changing priorities.

· Strong problem-solving and decision-making skills.

· Experience with light video editing (captions, overlays) is a plus.

· Familiarity with property management software (optional).

₱ 50,000.00 - 60,000.00 (Philippine Peso)
