· To update the metrash report every week by including all new joiners, re-joiners & leavers.
· To handle new joiners’ R.P processing (medical, finger scan & employment contracts) in coordination with the P.R.Os by keeping them up to date by the end of every week with the list of new joiners with their R.P status
· Arrange Hamad medical cards for all new joiners, monitor its expiration date and make sure that the indoor P.R.O will renew all on time
· Send to the Indoor P.R.O the final list of R.P renewal by the end of every month and make sure that all will be renewed on time
· Make sure that the sponsorship for all new joiners will be transferred on time in coordination with the P.R.Os & arrange work permits whenever needed and renew it on time
· To renew all drivers driving licenses on time in coordination with the P.R.Os and arrange temporally driving licenses whenever needed.
· To renew all companies legal documents on time in coordination with the P.R.Os (CR, Computer card..etc)
· Make sure that all Q-Tel & Kahramma bills for the entire group will be paid on time in coordination with the outdoor P.R.O in order to avoid any service interruption.
· Make follow up with accounts department regarding Woqood payment by the end of every month and make sure that the outdoor P.R.O will submit the cheque on time.
· Make sure that all managers will send their employees’ leave plan by the end of every year
· Arrange airline ticket bookings for all leavers and coordinate with the Indoor P.R.O regarding their R.P
· renewal, R.P cancellation & exit permit
· Arrange different type of letters
· Make sure that all leavers will submit their re-joining forms once they return back from vacation
· Give the payroll officer copies from: Deduction letters, re-joiners leave docs and keep him posted with any approved leave, resignation or termination letter.
· Update the P.R.O report every Saturday and send it to GHRM for his review and advise
· Keep bright system up to date with the employees’ R.P expiration date, sponsor, passport issue & expiration date
· Keep the HR policy & procedure up to date and keep the employees posted with any changes in it
· Conduct exit interviews with end of service employees and keep the exit interview report up to date
· Make an induction for new joiners and give them copies from the employee handbook
Person Specifications:
· Should have time management skills
· Should be able to work under stress and meet all deadlines
· Should hold a BA degree in HR or Business Administration
· Should have good communication skills (verbal & written)
· Able to handle employees’ information strict confidentially
· Proficient in Microsoft word & excel
· Should have good negotiation & customer service skills
