They are now seeking a meticulous and organized Assistant Manager, Sales Admin to join their team. The ideal candidate will play a crucial role in streamlining our sales processes and ensuring seamless transactions for our valued clients.

Responsibilities:

  • Support the coordination of documentation preparation and signing procedures, liaising effectively with purchasers, solicitors, and bankers to facilitate transactions smoothly.
  • Conduct meticulous reviews and validation of documentation details to ensure precision in property information and selling prices prior to finalization.
  • Monitor and expedite the return of stamped agreements, collaborating closely with sales personnel for efficient dispatch to purchasers.
  • Issue Letters of Undertaking to financiers and ensure the timely receipt of financiers' commitments.
  • Establish and maintain a structured filing system for all documentations, including agreements and communications with purchasers, solicitors, and bankers.
  • Prepare and manage billing statements, reminders, receipts, and facilitate the collection of payments.
  • Assist in the seamless delivery of vacant possession, including coordinating total area calculations and liaising with relevant departments.
  • Maintain the property management system, ensuring accurate and timely updates on new sales and sales progress.
  • Prepare necessary documentation for strata title submissions, such as car park allocation listings and total area calculations, and coordinate with surveyors for submission.
  • Facilitate the transfer of titles to purchasers upon the issuance of individual titles.
  • Compile and generate weekly loan tracking reports and monthly summaries of online surveys or feedback.
  • Collect and organize purchasers' feedback regarding company products and services for management review.
  • Assist in various sales and marketing initiatives to support business objectives.
  • Ensure agreements are accurate, signed, stamped, and ready for release to purchasers within specified timelines.
  • Expedite the preparation and dispatch of billings upon receipt of supporting certificates.
  • Proactively send reminders for payment on billings to purchasers.
  • Uphold adherence to standard operating procedures by the sales administration department to maintain alignment with corporate branding and image.

Requirements:

  • Possess a Degree or Diploma in Business Administration or related discipline.
  • Demonstrate effective written and verbal communication skills in English and Bahasa Malaysia.
  • Exhibit strong proficiency in computer skills, including Microsoft Office applications.
  • Familiarity with housing developer systems, particularly WIZ, is advantageous.
  • Knowledge of the Housing Act and contents of standard Sale & Purchase Agreements, including Schedule H and G, DMC, and other legal terms, is preferred.
  • Understand workflow processes for the completion of sale and purchase agreements and loan documentations.
