Job Summary
The primary purpose of this position is to provide effective and efficient finance and administrative support to the Finance department.
Roles and Responsibilities
Specifically the Finance & Administrative Officer:-
- Administrative and Financial Support
- Process payment vouchers and receipts in accordance with ACET's financial policies and procedures.
- Verify and compile supporting documentation for financial transactions.
- Maintain accurate physical and electronic financial filing systems.
- Financial Data Management
- Record and post financial transactions into the accounting system accurately and timely.
- Maintain and update vendor, supplier, and beneficiary records.
- Verify and code invoices
- Ensure data integrity and accuracy in financial databases and records.
- Cash and Banking Management
- Review petty cash transactions and reimbursements, ensuring proper documentation and accountability processes are followed.
- Prepare banking documentation, including transfer instructions and deposit slips.
- Conduct bank and cash reconciliations and investigate discrepancies.
- Monitor cash balances and support cash flow management activities.
- Record Keeping and Audit Support
- Maintain organized financial records and archives in accordance with retention policies.
- Ensure all financial documents are properly labeled, filed, and readily accessible.
- Prepare documentation required for internal and external audits.
- Support financial reviews and compliance assessments.
- Financial Reporting and Analysis
- Assist in the preparation of monthly, quarterly, and annual financial reports.
- Prepare schedules, reconciliations, and supporting analyses for management review.
- Monitor budget utilization and support variance analysis.
- Assist in tracking project expenditures and donor-funded activities.
- Operational and Compliance Support
- Support logistics and administrative activities related to finance operations.
- Follow up on outstanding documentation, approvals, and payment requests.
- Ensure compliance with organizational policies, financial regulations, internal controls and donor requirements.
- Any other duties as may be assigned from time to time in support of ACET's Finance and Administrative goals
The Talented Individual
Education/Experience
- Bachelor's degree in the Accounting, Finance, Business Administration or any other related field.
- At least two years' experience in accounting, finance and admin support duties.
Knowledge, Skills, Abilities
- Experience of accounting and/or bookkeeping
- Knowledge of financial systems, including accounting systems and budgetary control
- Strong administrative skills.
- Excellent communications skills, both written and verbal.
- Ability to work well when under pressure and keep to deadlines.
- Must be organised and able to manage various projects simultaneously when required.
- Ability to work independently as well as part of a team.
