Overview

We are recruiting on behalf of our client for a Finance and Admin Assistant. This is a dual-function role supporting both the finance and administrative operations of a US-based client, with a primary focus on day-to-day bookkeeping transactions and client-facing document management. The successful candidate will work remotely and be required to align with US Eastern Standard Time (EST) business hours. This role suits someone who is detail-oriented, organized, and comfortable switching between financial tasks and general administrative support. It is an excellent opportunity for a candidate with foundational bookkeeping skills who enjoys variety in their work and takes ownership of routine but essential business functions.

Key Responsibilities

  • Record and process day-to-day financial transactions, including invoices, payments, and expense entries 
  • Maintain accurate and up-to-date records in the accounting or bookkeeping system 
  • Follow up with clients to collect outstanding documents, signed forms, and supporting records 
  • Organize and maintain digital filing systems for both financial and administrative documents
  • Assist with basic account reconciliations and report preparation as directed 
  • Coordinate administrative tasks such as scheduling, correspondence, and data entry 
  • Communicate with clients and internal team members in a professional and timely manner

Requirements

  • Matric (Grade 12) is essential; a National Diploma or ICB qualification in Bookkeeping, Accounting, or Finance is advantageous 
  • Demonstrated experience performing bookkeeping or financial data entry tasks 
  • Proficiency in at least one accounting or bookkeeping software platform (e.g., QuickBooks, Xero, or similar) 
  • Strong written and verbal English communication skills, suitable for client-facing correspondence 
  • Reliable home office setup with stable internet connectivity to support US EST business hours 
  • Proficiency in Microsoft Office or Google Workspace, particularly Excel/Sheets and Word/Docs

Preferred Experience

  • Prior experience in a combined finance and administrative support role
  • Familiarity with document management or client onboarding processes
  • Experience working with US or UK-based clients or in a remote staffing environment 
  • Exposure to accounts receivable, accounts payable, or basic reconciliation processes
