Overview

We are recruiting on behalf of our client, a property rental company based in the United Kingdom, for a Viewing Coordinator to join their team. This role is responsible for managing the end-to-end coordination of property viewing appointments, serving as the primary point of contact for prospective tenants and ensuring the daily viewing schedule runs smoothly and efficiently.

This is a telephone-heavy role suited to someone who is comfortable making and receiving a high volume of calls each day, managing several appointments simultaneously, and keeping the viewing team well-informed and on schedule. The successful candidate will work fully in-office and must be available to align with UK business hours (GMT/BST).

Key Responsibilities

* Contact prospective tenants by phone to arrange and confirm property viewing appointments

* Build and manage the daily viewing schedule, ensuring appointments are logistically planned and well-timed

* Plan efficient routes for the member of staff conducting the viewings, using Google Maps or similar tools

* Communicate any changes, cancellations, or updates promptly to all relevant parties

* Follow up with prospective tenants following initial enquiries to secure viewing bookings

* Maintain accurate records of appointments, tenant details, and viewing outcomes

* Ensure the viewing team has complete and correct information ahead of each appointment

Requirements

* Matric (Grade 12) as a minimum qualification

* Proven experience in a telephonic, customer service, or administrative role

* Strong verbal communication skills with a confident and professional telephone manner

* Good computer literacy, including the ability to use scheduling tools, spreadsheets, and mapping applications

* Highly organised with the ability to manage multiple tasks and priorities concurrently

* Available to work in-office and to align working hours with the UK (GMT/BST)

Preferred Experience

* Previous experience in a property, lettings, or real estate environment

* Experience coordinating schedules or logistics in a high-volume setting

* Familiarity with Google Workspace tools, including Google Maps and Google Calendar
