Job Summary: We are seeking a highly organized and proactive Office Administration Assistant to join our team. This role is responsible for overseeing day-to-day office operations, managing vendor relationships, handling event-related quotations, and supporting accounting functions. The ideal candidate will have excellent multitasking abilities, strong communication skills, and a good understanding of basic accounting.
Responsibilities:
- Office Administration:
- Oversee general office operations, including ordering office supplies and maintaining office facilities.
- Coordinate meetings, appointments, and office events.
- Maintain office records, databases, and filing systems.
- Ensure smooth communication between departments and provide administrative support to team members.
- Vendor Management:
- Act as the primary point of contact for vendors, ensuring timely and efficient communication.
- Negotiate contracts and pricing with vendors to secure favorable terms.
- Maintain accurate records of vendor agreements, contracts, and performance evaluations.
- Address any issues or disputes with vendors and ensure timely delivery of goods and services.
- Event Quotation Handling:
- Request and handle quotations from vendors and service providers for events.
- Compare quotations and negotiate prices to fit within budget requirements.
- Ensure accurate documentation of quotes, contracts, and final agreements.
- Coordinate with vendors and service providers to ensure successful event execution.
- Accounting and Financial Tasks:
- Assist in preparing and processing invoices for vendors and clients.
- Handle accounts payable and receivable tasks, including processing payments and tracking outstanding balances.
- Assist in reconciling accounts and preparing financial reports.
- Maintain records of transactions, payments, and financial documents in an organized manner.
- Support the finance team in budget management, financial reporting, and other related tasks.
Requirements:
- Proven experience in office administration, vendor management, and accounting or finance-related roles.
- Strong organizational skills and attention to detail.
- Thai National with Good English Communication
- Proficiency in MS Office (Excel, Word, Outlook) and accounting software (such as QuickBooks, SAP, or similar tools).
- Ability to manage multiple tasks, prioritize, and meet deadlines.
- Strong problem-solving skills and the ability to work independently.
Preferred Qualifications:
- Have adequate knowledge in Business Administration, Accounting, Event Management, or a related field.
- Experience handling quotations, contracts, and vendor management for events.
- Familiarity with basic accounting principles and financial reporting.
