Job Summary: We are seeking a highly organized and proactive Office Administration Assistant to join our team. This role is responsible for overseeing day-to-day office operations, managing vendor relationships, handling event-related quotations, and supporting accounting functions. The ideal candidate will have excellent multitasking abilities, strong communication skills, and a good understanding of basic accounting.

Responsibilities:

  1. Office Administration:
    • Oversee general office operations, including ordering office supplies and maintaining office facilities.
    • Coordinate meetings, appointments, and office events.
    • Maintain office records, databases, and filing systems.
    • Ensure smooth communication between departments and provide administrative support to team members.
  2. Vendor Management:
    • Act as the primary point of contact for vendors, ensuring timely and efficient communication.
    • Negotiate contracts and pricing with vendors to secure favorable terms.
    • Maintain accurate records of vendor agreements, contracts, and performance evaluations.
    • Address any issues or disputes with vendors and ensure timely delivery of goods and services.
  3. Event Quotation Handling:
    • Request and handle quotations from vendors and service providers for events.
    • Compare quotations and negotiate prices to fit within budget requirements.
    • Ensure accurate documentation of quotes, contracts, and final agreements.
    • Coordinate with vendors and service providers to ensure successful event execution.
  4. Accounting and Financial Tasks:
    • Assist in preparing and processing invoices for vendors and clients.
    • Handle accounts payable and receivable tasks, including processing payments and tracking outstanding balances.
    • Assist in reconciling accounts and preparing financial reports.
    • Maintain records of transactions, payments, and financial documents in an organized manner.
    • Support the finance team in budget management, financial reporting, and other related tasks.

Requirements:

  • Proven experience in office administration, vendor management, and accounting or finance-related roles.
  • Strong organizational skills and attention to detail.
  • Thai National with Good English Communication 
  • Proficiency in MS Office (Excel, Word, Outlook) and accounting software (such as QuickBooks, SAP, or similar tools).
  • Ability to manage multiple tasks, prioritize, and meet deadlines.
  • Strong problem-solving skills and the ability to work independently.

Preferred Qualifications:

  • Have adequate knowledge in Business Administration, Accounting, Event Management, or a related field.
  • Experience handling quotations, contracts, and vendor management for events.
  • Familiarity with basic accounting principles and financial reporting.
