Payroll Specialist

 Job Description:

We are in search of a detail-oriented and seasoned Payroll Specialist to become part of our finance department. Your duties will include processing payroll, guaranteeing precise and prompt payment to employees, and managing associated administrative responsibilities.

Key Responsibilities:

  • Accurately process and manage payroll for all employees, including regular, overtime, and bonus payments. Ensure payroll is processed in accordance with company policies, labor laws, and contractual agreements.
  • Oversee and validate employee timekeeping records, including hours worked, vacation, sick leave, and other paid time off. Resolve any discrepancies and ensure accurate data entry.
  • Calculate and withhold appropriate federal, state, and local taxes from employee wages. Ensure timely and accurate submission of tax reports and payments to government agencies.
  • Administer employee benefits programs, including health insurance, retirement plans, and other perks. Ensure accurate deductions and contributions are processed and address any benefits-related inquiries.
  • Reconcile payroll reports with general ledger accounts to ensure accuracy. Investigate and resolve any discrepancies between payroll records and financial statements.
  • Respond to employee inquiries regarding payroll, including questions about deductions, tax withholdings, and pay stubs. Provide clear and accurate information to address any concerns.
  • Ensure compliance with all federal, state, and local payroll regulations and company policies. Prepare and submit required payroll reports and documentation for audits and regulatory purposes.
  • Maintain accurate and confidential payroll records, including employee data, tax forms, and pay history. Ensure records are up-to-date and accessible for review and compliance purposes.
  • Utilize payroll software and systems to process payroll, manage employee data, and generate reports. Stay updated on software changes and upgrades to ensure system efficiency.
  • Identify and recommend improvements to payroll processes and procedures. Implement best practices to enhance payroll accuracy, efficiency, and employee satisfaction.

Qualifications:

  • Bachelor's degree in Accounting, Finance, Human Resources, or a related field; relevant certifications (e.g., Certified Payroll Professional) are a plus.
  • Proven experience as a payroll specialist or in a similar role. Familiarity with payroll software and systems, as well as knowledge of payroll regulations and compliance.
  • Proficiency in payroll software (e.g., ADP, Paychex, QuickBooks), spreadsheets, and office software (e.g., Microsoft Office Suite, Google Workspace).
  • High attention to detail to ensure accuracy in payroll processing, tax calculations, and record-keeping.
  • Strong analytical skills with the ability to identify and resolve discrepancies, perform reconciliations, and generate accurate reports.
  • Strong problem-solving skills with the ability to address and resolve payroll issues effectively and efficiently.
  • Ability to handle sensitive payroll information with discretion and maintain confidentiality.
  • Effective time management skills with the ability to prioritize tasks, meet deadlines, and manage payroll schedules.
