About the Role:
Reporting to the Senior Practice Managers, the Junior Clerk plays a key role in ensuring the efficient day-to-day operation of Selborne Chambers. The successful candidate will provide administrative and clerking support to members of Chambers, solicitors and clients, while maintaining the highest standards of professionalism, organisation and client service.
This role offers an excellent opportunity to develop a career in chambers administration and clerking, with structured exposure to case management, diary coordination, fee administration and business development.
The post holder will be expected to work 40 hours per week and undertake any additional duties reasonably required to support the effective operation of Chambers.
Key Responsibilities
General Office Administration
- Assist in the smooth day-to-day running of Chambers.
- Maintain office equipment, stationery supplies and general office facilities.
- Report maintenance issues and assist with the upkeep of Chambers.
- Ensure communal areas, including the clerks' room, conference rooms and waiting areas, are clean, presentable and well stocked. Manage the removal, destruction of historic case files.
- Replenish paper and stationery throughout Chambers.
Clerking Support
- Answer incoming telephone calls professionally and efficiently, taking accurate messages and forwarding them promptly.
- Assist with booking hearings, conferences and appointments into barristers' diaries under supervision.
- Prepare conference rooms and welcome clients and solicitors on arrival.
- Escort clients and solicitors to conferences with members of Chambers.
- Collect, open, date stamp and distribute incoming post and DX.
- Prepare and dispatch outgoing post, DX and courier deliveries.
- Collect and deliver papers and briefs between Chambers, courts and other barristers' chambers as required.
- Monitor, diarise and notify listings
Administrative Duties
- Maintain accurate records and filing systems using Chambers' case management software.
- Use legal practice management systems, Microsoft Office and other office technology efficiently.
- Undertake photocopying, scanning, printing and document preparation.
- Maintain confidentiality and ensure compliance with the Data Protection Act 2018 and Chambers' information security procedures.
Professional Standards
- Provide an efficient, courteous and professional service to barristers, solicitors, clients and visitors.
- Comply with the Chambers Quality Code and all Chambers policies.
- Promote the reputation and professional image of Selborne Chambers at all times.
- Support Chambers' marketing activities, seminars and events where required.
- Comply with all Health & Safety procedures.
