Chambers are seeking a highly organised, proactive and client-focused Assistant Practice Manager to support the smooth running of Chambers and contribute to the continued success of their members.

About the Role:

The Assistant Practice Manager plays a key role within the Clerks' Room, supporting the Senior Clerk in the day-to-day management of members' practices while ensuring the highest standards of service are delivered to solicitors, professional clients, public access clients and members of Chambers.

The successful candidate will be responsible for diary and practice management, fee administration, client liaison, business development support and the efficient administration of barristers' practices across all practice areas.

This is an excellent opportunity for someone with previous clerking or legal administration experience who wishes to develop their career within a progressive and highly respected set of Chambers.

Key Responsibilities:

Practice & Diary Management

  • Manage barristers' diaries using the LEX Diary System.
  • Process and record new instructions accurately.
  • Allocate and distribute work in accordance with Chambers' procedures.
  • Schedule hearings, conferences, mediations and meetings.
  • Confirm court listings and liaise with courts where required.
  • Monitor diary conflicts and proactively resolve scheduling issues.
  • Ensure all case information is maintained accurately within LEX.

Client Relationship Management

  • Act as a first point of contact for solicitors, professional clients and public access clients.
  • Respond promptly and professionally to telephone and email enquiries.
  • Build and maintain strong relationships with existing and prospective clients.
  • Promote the expertise and availability of members of Chambers.
  • Deliver consistently high standards of client care.

Fees & Financial Administration

  • Negotiate fees within agreed parameters.
  • Prepare fee quotations and fee agreements.
  • Mark briefs and record fee information.
  • Assist with billing and fee collection processes.
  • Support fee reconciliation and financial reporting where required.

Administrative Support

  • Prepare and organise legal documentation and correspondence.
  • Maintain accurate electronic records and filing systems.
  • Produce reports from the LEX system.
  • Assist with Chambers' compliance and administrative procedures.
  • Ensure confidential information is handled appropriately.

Business Development & Marketing

  • Assist in promoting Chambers to solicitors and professional clients.
  • Support marketing initiatives and networking events.
  • Help coordinate client visits, seminars and promotional activities.
  • Identify opportunities to increase instructions for members.
  • Maintain accurate client contact information within Chambers' systems.

Team Support

  • Work collaboratively with the Senior Clerk and wider clerking team.
  • Provide cover for colleagues during periods of absence.
  • Contribute positively to the efficient operation of the Clerks' Room.
  • Participate in ongoing training and professional development

Required Skills

  • Previous experience in a clerking, legal administration or practice management role. Excellent organisational and time management skills.
  • Strong verbal and written communication skills.
  • High level of attention to detail.
  • Ability to manage multiple competing priorities.
  • Professional, confident and approachable manner.
  • Strong client service skills.
  • Excellent telephone etiquette.
  • Proficiency in Microsoft Office 365, particularly Outlook, Word and Excel.
  • Experience using the LEX Diary System or similar legal practice management software.
  • Ability to work effectively under pressure and meet deadlines.
  • Positive, flexible and proactive approach to work.

Desirable Skills

  • Experience working within Barristers' Chambers.
  • Knowledge of Civil, Criminal, Family or Immigration practice areas.
  • Understanding of barristers' fee structures and billing procedures.
  • Experience dealing with Public Access clients.
  • Familiarity with court procedures and listing processes.
  • Knowledge of legal aid and privately funded work.

Working Hours

  • Full-time office-based position
  • Monday to Friday 9.00am - 6.00pm.
  • Flexibility may occasionally be required to support Chambers' business development activities and client events.
