A leading Japanese Food Distributor is seeking a detail-oriented and organized Administrative and Accounting Specialist to join their team. This role is responsible for a variety of administrative and accounting tasks to ensure the smooth and efficient operation of our office and financial processes.
【Key Responsibilities】
Accounting Duties:
- Process accounts payable and accounts receivable, including invoice processing, payment tracking, and collections.
- Perform daily and monthly bank reconciliations.
- Assist with month-end and year-end closing procedures.
- Prepare journal entries and maintain the general ledger.
- Assist in the preparation of financial statements and reports.
- Manage expense reports and reimbursements.
- Maintain accurate and organized financial records and filing systems.
- Assist with inventory reconciliation and cost accounting support.
- Support budgeting and forecasting activities.
- Liaise with vendors and customers regarding payment and invoicing inquiries.
- Assist with audit preparations.
Administrative Duties:
- Provide general administrative support to the office, including managing correspondence, answering phone calls, and handling inquiries.
- Organize and maintain office files, documents, and supplies.
- Schedule appointments and meetings, and coordinate travel arrangements as needed.
- Assist with human resources tasks such as onboarding new employees and maintaining employee records (if applicable).
- Manage incoming and outgoing mail and shipments.
- Ensure the office environment is well-maintained and presentable.
- Support sales and purchasing departments with administrative tasks as required.
- Perform data entry and maintain databases.
Other duties as assigned by management.
【Qualifications】
- Business-level proficiency in both English and Japanese
- Associate's or Bachelor's degree in Accounting, Finance, Business Administration, or a related field is preferred.
- Proven experience in an administrative and/or accounting role (typically 2+ years).
- Proficiency in the Microsoft Suite (especially Microsoft Excel)
- Effective communication, time-management and organizational skills
- Experience in the food wholesale or distribution industry is a plus.
Location: Seattle, WA (on-site)
Schedule : Monday Friday 8:00am 5:00pm
