A leading Japanese Food Distributor is seeking a detail-oriented and organized Administrative and Accounting Specialist to join their team. This role is responsible for a variety of administrative and accounting tasks to ensure the smooth and efficient operation of our office and financial processes. 

Key Responsibilities】

Accounting Duties:

  • Process accounts payable and accounts receivable, including invoice processing, payment tracking, and collections.
  • Perform daily and monthly bank reconciliations.
  • Assist with month-end and year-end closing procedures.
  • Prepare journal entries and maintain the general ledger.
  • Assist in the preparation of financial statements and reports.
  • Manage expense reports and reimbursements.
  • Maintain accurate and organized financial records and filing systems.
  • Assist with inventory reconciliation and cost accounting support.
  • Support budgeting and forecasting activities.
  • Liaise with vendors and customers regarding payment and invoicing inquiries.
  • Assist with audit preparations.

Administrative Duties:

  • Provide general administrative support to the office, including managing correspondence, answering phone calls, and handling inquiries.
  • Organize and maintain office files, documents, and supplies.
  • Schedule appointments and meetings, and coordinate travel arrangements as needed.
  • Assist with human resources tasks such as onboarding new employees and maintaining employee records (if applicable).
  • Manage incoming and outgoing mail and shipments.
  • Ensure the office environment is well-maintained and presentable.
  • Support sales and purchasing departments with administrative tasks as required.
  • Perform data entry and maintain databases.

Other duties as assigned by management.

Qualifications

  • Business-level proficiency in both English and Japanese
  • Associate's or Bachelor's degree in Accounting, Finance, Business Administration, or a related field is preferred.
  • Proven experience in an administrative and/or accounting role (typically 2+ years).
  • Proficiency in the Microsoft Suite (especially Microsoft Excel)
  • Effective communication, time-management and organizational skills
  • Experience in the food wholesale or distribution industry is a plus.
