A leading Japanese Food Distributor is seeking a detail-oriented and organized Office Coordinator Assistant to support the efficient daily operations of their office. 

Key Responsibilities】

Administrative Support:

  • Manage incoming calls, emails, and correspondence.
  • Greet visitors warmly and direct them appropriately.
  • Handle general office tasks including data entry, filing, scanning, and mail distribution.
  • Order and maintain office supplies, ensuring adequate stock levels.
  • Schedule and prepare meeting rooms, including setting up equipment and refreshments.
  • Facilitate communication with clients, and vendors.
  • Translate documents, emails, and conversations as required to ensure clear understanding.
  • Assist with international business communications and logistics.

Client & Vendor Relations & Data Management:

  • Respond to client inquiries (e.g., orders, delivery status, general questions) professionally.
  • Liaise with vendors and suppliers for various office and operational needs.
  • Support invoice processing and other accounting-related tasks.
  • Assist with the input and maintenance of inventory, order, and sales data.

Other duties as assigned by management.

Qualifications

  • Business-level proficiency in both English and Japanese
  • Proven experience as an Office Assistant, Administrative Assistant, or similar role, preferably within the food and beverage industry.
  • Proficiency in the Microsoft Suite (especially Microsoft Excel)
  • Effective communication, time-management and organizational skills

Location: Des Moines, WA (on-site)

Schedule : Monday Friday 8:00am 5:00pm
