Position: Bilingual HR/Administrative Assistant (Non-Exempt, Full-time)

Location: Irvine, CA (on-site)

Working Hours: Mon to Fri, 8:30 AM to 5:30 PM (closed weekends and holidays)

Salary: DOE $45K

We are currently seeking a HR/Administrative Assistant for a Japanese Food Service Equipment Distributor. This position will provide an administrative support to ensure efficient operation of office. Goal-oriented and ability to juggle multiple tasks simultaneously.



Essential Job Functions

  • Order office supplies including uniforms upon requests 
  • Troubleshoot with IT, phone or other issues in the office by communicating with multiple vendors 
  • Coordinate company seasonal events 
  • Responsible for the renewal of health/commercial insurances, company handbook, travel policy, business licenses, compliance and 401K 
  • Arrange working visa for employees coming from HQ and facilitate children's school enrollment and residency 
  • Communicate with HQ to arrange helper requests and make travel arrangements 
  • Assist Accounting/HR Assistant Manager with new hire and employee resignation process
  • Handle car accident claims with insurance companies 
  • Consult with attorneys regarding lawsuits, travel visas and insurance claims 
  • Manage vendor relationships, POs, price negotiations and projects 
  • Maintain computers, laptops and servers with outside IT vendor 
  • Maintain copy machines, printers, phone systems, landscape and pest controls 
  • Manage annual/quarterly/monthly maintenance of forklift, air conditioning and company cars Handle terms and pricing for leasing contracts 
  • Handle mails and other correspondence with HQ in Japan 
  • Maintain and update employee records 
  • Assist sales department with trade show preparation and travel upon request

Others

  • Performs special projects and other miscellaneous duties as assigned 
  • Maintain high ethical standards in the work place 
  • Maintain good communication with management, other staff, and outside contacts.
  • Comply with all company policies and procedures 
  • Assist President, Accounting/HR Assistant Manager and other department as needed


Qualifications

  • Must be legally authorized to work in the US
  • Fluency in both English and Japanese
  • Excellent Microsoft office, power point and excel skills
  • An associate's degree or bachelor's degree from an accredited two-year or four-year college or university, or an equivalent combination of education and experience, is preferred.
  • Experience in Administrative Assistant/Office Management are preferred, but not required.
