About the Role
The Service Coordinator will report to the Service Manager and provide strong administrative support to the Service department.
Responsibilities
- Provide prompt responses to customers enquiries and service calls for log-in of breakdown calls.
- Allocate service jobs to respective Service Technicians, e.g., job opening and closure, arrangement of spare parts and equipment for Field Technicians
- Liaise with suppliers for battery job arrangement
- Liaise with customers for appropriate entry clearances
- Issue picking lists for Service Technicians for their orders of spare parts
- Issue spare parts requisition documents for parts orders
- Allocate service vans and update meter readings in AS400 system
- Update personal information and status of Service Technicians in AS400 system
- Update customers truck orders and ownership information in AS400 system
- Update booklets and service job cards
- Process factory cards and invoices for customers
- Assist to renew customers contracts and ensure proper documentation
- Preparation of daily Dashboard and daily job reports
- Process cost of sales and warranty job cards for retail and rental customers
- Process dispatch advice (POS)
- Coordinate safety courses for Service Technicians per customers requirements
Requirements
- Diploma in any field with at least 2-3 years of relevant work experience
- Service-oriented with good communication and interpersonal skills
- Proficient in Microsoft Office, particularly in Word and Excel
- Experienced in using AS400 would be advantageous
- Meticulous and able to multi-task effectively
