About the job Administration Executive

What You Will Achieve

  • Main liaison with Global, Regional and Local brand teams: on the coordination of any overseas, interstate and/or virtual meetings. This includes all participants details, flights, transport and accommodation as well as F&B and any other areas relating to the meeting.
  • Responsible to raise and track all procurement matters: to raise and track all Purchase Request and to Good Receive all completed jobs at a timely manner. This involves liaising with vendors for quotations and invoices, liaising with Business Management teams to ensure that all GL codes and cost centres are captured correctly
  • Project Appropriation Request: responsible to raise all new project AR and to follow-up with Project team to ensure all AR are closed after completion
  • License application: Support Retail Marketing with the application of DBKL / MBPJ licenses and any other licenses required for all out-post event areas
  • Record Management: Organizing and maintaining files and records for the brands.
  • Inventory Management: ensure all public relations inventory are tracked and properly recorded based on the companys policy & procedure

Qualifications


What You Will Need

  • 4 to 6 years of admin experience
  • University degree level qualification
  • Proven fluency in written and spoken English
  • Sound knowledge in Microsoft office applications
  • Stakeholder engagement skills including cross functional teamwork
  • Organised and meticulous, with the ability to meet tight deadlines
  • A multitasker who can handle multiple tasks at the same time
