He/she will have previous experience working in an office environment, performing administrative tasks and providing support to coworkers. The ability to multitask, manage complex schedules, and meet changing deadlines is essential to the position.
Job Responsibilities
- Provide administrative support to ensure efficient operation of the assigned department.
- Manage phone calls, managing incoming/outgoing mail and shipments, and maintaining an organized, clean office environment
- Provide direct administrative support to department head/manager/ supervisor, including email correspondence, and generation and distribution of memos, letters, spreadsheets, reports, and work orders, purchase orders
- Maintain and update department databases
- Prepare reports on department expenses and budgets
- Maintain filing system, contact database, employee list, and inventories
- Support team by performing tasks related to organization and strong communication
- Ensure operation of equipment by completing preventive maintenance requirements, calling for repairs, maintaining equipment inventories and evaluating new equipment and techniques
- Provides information by answering questions and requests.
- Maintains supplies inventory by checking stock to determine inventory level, anticipating needed supplies, placing and expediting orders for supplies
- Contributes to team effort by accomplishing related results as needed
Job Requirements
- Proven administrative experience
- Superb written and verbal communication skills
- Strong time-management skills and multitasking ability
- Proficient in Microsoft Office, with aptitude to learn new software and systems
- Ability to adapt to changing situations in a calm and professional manner
