Job Description

The Iowa Department of Public Health (IDPH) and the Department of Human Services (DHS) merged on July 1, 2022, to form one agency: The Iowa Department of Health and Human Services (HHS).

This position provides administrative assistance and related technical support services to the Service Area leadership team in carrying out program responsibilities which require the use of independent judgment, considerable contact with staff, central office staff, other human service agencies, and constituents and the ability to independently carry out tasks of moderate to considerable diversity and scope.

Description Of Work

  • Serve as liaison with Division of Field Operations in responding to and investigating client complaints including contacting appropriate parties, requesting information, and preparing a response within required timeframes.
  • Provide support such as typing letters and minutes, maintaining appointment schedules, making travel arrangements, reading, sorting, and distributing mail, tracking and entering data into databases, arranging and setting up meetings, greeting and screening visitors and callers, maintaining up to date telephone, mail, and email contacts, making referrals to appropriate staff or personally resolving issues, copying and filing as needed.
  • Serve as point person for the leadership team and other support staff
  • Attend meetings, training sessions and review manual and other sources of communication to keep current on DHS policy and procedure.

  • Maintain high attendance and report to work on time
  • Travel occasionally when it is necessary to cover absences/vacancies in other DMSA offices.
  • Other duties as assigned.

Minimum Qualification Requirements

Experience equal to two years of full-time general office work, one year of which must have involved secretarial or related administrative support duties;

OR

post high school course work in an accredited secretarial, business, or closely related curriculum may be substituted for the required experience on a month-for-month basis;

OR

completion of thirty (30) semester (or equivalent) hours of undergraduate college level course work may be substituted for the one year of required general office experience;

OR

certification from the State of Iowa Administrative Assistant Certificate Program will substitute for six months of the required experience;

OR

employees with current continuous experience in the state executive branch that includes the equivalent of one year of full-time work as a Secretary 1.
