Job Description

  • Keep record of office sundries and expenses.
  • Coordinate and maintain records for petty cash.
  • Handle and distribute incoming and outgoing mails and courier arrangements.
  • Coordinate the repair and maintenance of office units and office equipment at all office sites.
  • Manage end-to-end process of overseas business trips, including complete visa document, letters, travel insurance, accommodation and any other related travel matters in a timely manner.
  • Oversee office space, equipment, suppliers, furniture maintenance by utilizing of resources.
  • Manage office cleaners, vendors, including office cleaning, pest control management, facilities management at all office sites.
  • Manage, requisite and maintain office supplies and consumables including assets, stationery, season parking, pantry supplies and consumables at all office sites.
  • Coordinate the season parking matters and monthly phone bills at all office sites.
  • Manage and liaise with suppliers and vendors, participate in service agreement and recommendation of vendors.
  • Manage office equipment and its contracts, lease, service agreements and ensure proper documentation and records.
  • Maintain office systems, certificates, insurance, licences and permit documentation, including data management and filing.
  • Coordinate & arrange printing & distributions of name cards.
  • Purchase, arrange and distribute Covid related items to employees eg. masks and test kits.
  • Manage the servicing, maintenance and renewal of motor vehicle.
  • Maintain office telephone directory.
  • Support, arrange and maintain records of corporate and festive giftings and the delivery process.
  • Assist in organizing company events.
  • Any other tasks as assigned by the Management.
