Job Openings Office Manager / Administrator

About the job Office Manager / Administrator

Were looking for a proactive and organized Office Manager/Administrator to join our team and keep things running smoothly. You'll be the first point of contact for our clients, handling everything from onboarding to invoicing, and making sure the day-to-day operations of the firm are seamless.

If you're someone who loves staying on top of things, thrives in a fast-paced environment, and enjoys delivering top-notch client experiences, wed love to hear from you!

What You'll Be Doing:

  • Calendar Management: Keep our partners' schedules on track and running smoothly.
  • Client Onboarding: Take charge of engagement letters, AML checks, and onboarding new clients.
  • Financial Admin: Manage invoicing, direct debit collections, and reconciliations.
  • Client Compliance: Stay on top of confirmation statements and dormant accounts for all clients.
  • Office Coordination: Handle phones, email correspondence, and day-to-day office operations.
  • Client Records: Maintain accurate and up-to-date files and documentation.
  • First Point of Contact: Be the friendly and professional face or voice our clients turn to.

What We're Looking For:

Yes the above is a bread and butter list of what an office manager does, but were not looking for someone who just ticks these boxes. Were looking for someone with a can do it attitude that wants to challenge themselves and help grow both your own career but also the team around you. Of course you'll have the usual: proficiency in MS office, good communication skills, attention to detail etc, but the key values most important to us are:

  • Highly Organized: Youve got systems, lists, and processes that keep everything in order.
  • Self-Motivated: You're proactive and able to manage your responsibilities without constant oversight (after the initial onboarding, of course!).
  • Tech-Savvy: You embrace technology and find ways to automate and streamline processes for efficiency.
  • Problem-Solver: If something isn't working, you identify the issue and propose a solution.
  • Client-Focused: You genuinely enjoy helping clients and delivering a top-tier experience.
  • Team Player: Collaboration is key you are supportive, approachable, and easy to work with.

In return, we will offer:

  • Market rate Salary: Starting £25,000- £28,000, depending on experience, with regular reviews.
  • Holidays: 28 days of annual leave (including bank holidays).
  • Autonomy & Support: You'll have the freedom to take ownership of your work, with a supportive team backing you.
  • Opportunities for Growth: Were committed to helping you develop your career, whether that's enhancing your administrative skills or exploring accounting responsibilities.
  • Friendly Environment: A collaborative and professional atmosphere where your contributions are valued.
