Responsibilities:
- Administrative Support:
- Manage calendars, schedule meetings, and coordinate appointments.
- Handle email correspondence and filter and prioritize messages.
- Prepare and organize documents, reports, and presentations.
- Data entry and record-keeping tasks.
- Travel and Logistics:
- Plan and arrange travel itineraries, accommodations, and transportation.
- Manage travel expenses and reimbursements.
- Coordinate meetings and events, both in-person and virtually.
- Communication:
- Serve as a liaison between team members and external parties.
- Draft, edit, and proofread documents, emails, and communications.
- Maintain contact lists and database management.
- Personal Support:
- Assist with personal tasks and errands, such as shopping, reservations, and household management.
- Handle personal appointments and scheduling.
- Financial Support:
- Prepare and send invoices to clients, track payments, and manage billing inquiries.
- Maintain financial records using QuickBooks, ensuring accuracy and compliance.
- Generate financial reports and provide updates on financial performance.
- Research and Reporting:
- Conduct research on various topics as needed.
- Compile and organize data, generate reports, and provide insights.
- Task Management:
- Prioritize and manage tasks, ensuring deadlines are met.
- Help with project management, tracking progress and deadlines.
Requirements:
- Proven Experience:
- Previous experience as a Virtual Assistant or Personal Assistant, with financial management and QuickBooks experience preferred.
- Strong Communication:
- Excellent verbal and written communication skills.
- Proficiency in English is essential.
- Organization Skills:
- Exceptional organizational and time management skills.
- Ability to multitask and prioritize effectively.
- Tech-Savvy:
- Proficiency in using productivity tools such as Microsoft Office, Google Workspace, and project management software.
- Experience with QuickBooks or similar financial software.
- Resourcefulness:
- A problem-solving mindset and the ability to find solutions independently.
- Confidentiality:
- Maintain strict confidentiality and handle sensitive financial information with discretion.
- Adaptability:
- Ability to work in a remote environment, manage your own time, and adjust to changing tasks and priorities.

- Reliable high-speed internet connection and the ability to work during standard business hours or as required.
