Responsibilities:

    • Manage calendars, schedule meetings, and coordinate appointments.
    • Handle email correspondence and filter and prioritize messages.
    • Prepare and organize documents, reports, and presentations.
    • Data entry and record-keeping tasks.
  2. Travel and Logistics:

    • Plan and arrange travel itineraries, accommodations, and transportation.
    • Manage travel expenses and reimbursements.
    • Coordinate meetings and events, both in-person and virtually.
  3. Communication:

    • Serve as a liaison between team members and external parties.
    • Draft, edit, and proofread documents, emails, and communications.
    • Maintain contact lists and database management.
  4. Personal Support:

    • Assist with personal tasks and errands, such as shopping, reservations, and household management.
    • Handle personal appointments and scheduling.
  5. Financial Support:

    • Prepare and send invoices to clients, track payments, and manage billing inquiries.
    • Maintain financial records using QuickBooks, ensuring accuracy and compliance.
    • Generate financial reports and provide updates on financial performance.
  6. Research and Reporting:

    • Conduct research on various topics as needed.
    • Compile and organize data, generate reports, and provide insights.
  7. Task Management:

    • Prioritize and manage tasks, ensuring deadlines are met.
    • Help with project management, tracking progress and deadlines.

Requirements:

  1. Proven Experience:

    • Previous experience as a Virtual Assistant or Personal Assistant, with financial management and QuickBooks experience preferred.
  2. Strong Communication:

    • Excellent verbal and written communication skills.
    • Proficiency in English is essential.
  3. Organization Skills:

    • Exceptional organizational and time management skills.
    • Ability to multitask and prioritize effectively.
  4. Tech-Savvy:

    • Proficiency in using productivity tools such as Microsoft Office, Google Workspace, and project management software.
    • Experience with QuickBooks or similar financial software.
  5. Resourcefulness:

    • A problem-solving mindset and the ability to find solutions independently.
  6. Confidentiality:

    • Maintain strict confidentiality and handle sensitive financial information with discretion.
  7. Adaptability:

    • Ability to work in a remote environment, manage your own time, and adjust to changing tasks and priorities.
  8. Availability:

    • Reliable high-speed internet connection and the ability to work during standard business hours or as required.
